The Virtual Assistant works directly with the Vice President, Finance & Operations (“VP”) and plays a pivotal role in executing key administrative and planning tasks with precision and efficiency. This position requires exceptional organizational skills, a proactive mindset, and the ability to prioritize and manage multiple responsibilities effectively. In addition to supporting the VP, the Virtual Assistant may provide administrative support to other Evolve leadership team members as needed.

This role demands a high level of discretion, impeccable attention to detail, and the ability to manage multiple priorities simultaneously. The ideal candidate will thrive in a fast-paced, growing organization, demonstrate outstanding communication skills, and bring a high level of organization and adaptability to the role.

Please note this is a part-time, independent contractor role and not a W-2 employee role.

Compensation Range

$25-$30 Per Hour

Key Responsibilities

  • Overseeing logistics and planning for Evolve events, including scheduling calendar invites, coordinating food and supplies, booking travel, securing venues, managing vendor relationships, and ensuring the successful execution of key gatherings such as the annual team retreat and holiday parties.
  • Overseeing the process for sending gifts to new clients and clients concluding their engagements with Evolve, ensuring timely delivery and thoughtful presentation to strengthen client relationships.
  • Coordinating the internal Evolve newsletter by gathering content from team members, drafting and formatting updates, and ensuring timely distribution to keep the team informed and engaged.
  • Maintaining organized records and files in systems like Dropbox and Google Drive, ensuring accessibility and proper documentation.
  • Handling miscellaneous administrative tasks as they arise, demonstrating flexibility and adaptability to evolving needs.

To be successful in this role, the Virtual Assistant will:

  • Communicate professionally and effectively with clients, vendors, firm leadership, and colleagues.
  • Multitask and prioritize competing demands while maintaining meticulous attention to detail.
  • Resourcefully problem-solve and adapt to changing circumstances.
  • Demonstrate proficiency in Microsoft Office Suite and Google Workspace.
  • Proactively manage up to the VP and take the initiative to address issues that arise.
