Position Overview:

The Project Coordinator at Evolve Giving Group plays a crucial role in supporting Directors and client facing teams by ensuring the smooth execution of internal and external projects. This key player organizes project timelines, coordinates meetings, creates client materials, and maintains project documentation while leveraging technology and data management systems. The ideal candidate will demonstrate strong communication skills, attention to detail, and the ability to manage multiple projects concurrently, contributing to the success of our team and our nonprofit partners. This position offers a remote work environment with occasional evening and weekend meetings.

Please note this is a part-time, independent contractor role and not a W-2 employee role.

Compensation Range

$28-$33/per hour

Key Responsibilities

  • Creating and maintaining comprehensive project timelines
  • Creating and maintaining systems and processes for managing tasks and project information (e.g., Excel, Airtable, Monday.com, etc.)
  • Organizing and maintaining digital folders and project documentation
  • Collecting, compiling, organizing, and entering data
  • Scheduling meetings, managing team and client calendars, and coordinating with relevant stakeholders
  • Drafting meeting agendas, taking detailed notes during meetings, and documenting key decisions and action items
  • Communicating follow up notes and action items to meeting participants promptly after meetings and tracking them to completion
  • Drafting communications using provided templates and samples
  • Creating and editing client materials, including documents, spreadsheets, and PowerPoint decks
  • Researching donor information, performing wealth screenings using DonorSearch, and creating donor profiles 
  • Accurately maintaining and tracking client donor lists and campaign data
  • Supporting Evolve Giving Group’s Client Services team with other internal projects, as requested

  • Problem-solve resourcefully by proactively identifying challenges, evaluating potential solutions, and deciding which solution(s) to pursue
  • Demonstrate advanced skills in layout and design
  • Utilize advanced features in Microsoft Office applications (e.g., Excel formulas, PowerPoint slide masters, Word formatting tools) to support project needs
  • Leverage CRM systems to identify and organize relevant data for client projects and communications
  • Proficiently use Evolve’s CRM (HubSpot), Google Workspace, Dropbox, and other software, as deemed necessary
  • Use project management systems to track tasks, deadlines, and progress to effectively manage workload
  • Proactively seek out new tools and technologies to enhance efficiency and support project work
  • Demonstrate a foundational understanding of nonprofit operations and fundraising principles to effectively support project work and client needs
